For Isabel Munoz and Roberto Castelnovo, owners of the consultancy firm NL42, the time of the year has come to start planning the next edition of Paperless Lab Academy, the number one European lab informatics event. The choice of the location has been an easy decision thanks to the positive feedback gathered from attendees, visitors and sponsors of the 2018 edition. Easy to reach by train from Germany and Switzerland and by flight to the Milan Malpensa international airport, the Grand Hotel Dino in Baveno has been selected for the second time in a row, as the venue to host #PLA2019.
Everyone get ready then, and…save the date! April 9th and 10th, destination Lake Maggiore – Italy.

While setting the stage of the new edition, the objectives of the event remain the same and are the foundation of the growing international reputation of our congress: free access to attendees coming from companies that own a laboratory, showcase of consolidated and new solution providers, agenda composed of content rich presentations and interactive sponsored workshops, and stimulating networking sessions.

“The laboratory scientific data is at the center of the discussion and we´ll be looking for providing food for thoughts while covering the data life cycle phases.” Says Roberto Castelnovo organizer of the Paperless Lab Academy together with Isabel Munoz.

The electronic data life cycle, a topic that was already at the center of the attention at the Paperless Lab Academy of last year (#PLA2018), will still occupy a central role in the next edition.
Briefly, this article aims at looking at the eData lifecycle itself and at its four major phases, largely known by those who attended last year’s edition, named “eConnect, eManage, eDecide, eArchive”.

“eConnect”

Effective workflow based on self-documenting data capture strategies, to ensure collection of raw data

Usage of instruments able to connect to the current lab platforms, to generate a paperless data management process and reduce risks

IoLT, Internet of Lab things

Smart Laboratory into the industry 4.0

“eManage”

Capability to deliver high quality results on timely manner generate meaningful information from trusted data.

Enabling of good practices and compliance of tools and processes

Facilitation of the interdepartmental communication

Coordination of the laboratory resources

“eDecide”

Turn data into actionable insights

Data analytics

Comprehensive Dashboard

Simplification and shortening of data review and decision making processes

Creation of a “control room” within the laboratory, where scheduling changes are adjusted to ensure the activities are completed on time and on budget

“eArchive”

Essentials to secure long-term multi-departmental archiving

Reduction of difficulties to find the right info and the right data

Data protection – protect the data value and the data consistency

GDPR compliancy

Companies like Gartner and Accenture, international press like Scientific Computing World have defined the Paperless lab Academy as the best European congress on lab informatics, a learning platform where to find answers to nowadays concerns and discover what the lab of tomorrow will be made of. The Paperless Lab Academy organization team is proud of the reputation that the event has acquired over the years and will keep on working hard to maintain the same level of quality for the years to come.

GLIMPSING THE FUTURE OF DATA INTEGRITY: “MARK’S CRYSTAL BALL”

by Mark Newton, Principal at HeartlandQA, mark@heartlandQA.com

To a careful observer, the realm of Data Integrity currently has signals that indicate which direction the regulators—and hence, the industry—will be moving. My crystal ball is currently aglow with these future visions, in no particular order

1. The Data Periodic Review is coming

The subject was introduced in the recent MHRA Final Guidance for GXP Systems (1). I discussed this topic last October at the ISPE/GAMP Annual Meeting in San Diego in my presentation on Data Integrity metrics. It is a logical development: GAMP 5 has a system lifecycle, and includes a Periodic Review to assure that systems remain in a state of compliance; GAMP Records & Data Integrity defines a Data Lifecycle, working in parallel to the system lifecycle.

So, if you have two parallel lifecycles, and one has a periodic review, why would you not expect the other (parallel) lifecycle to have a periodic review?

Only makes sense.

That was the logic for my presentation point at the ISPE/GAMP 2017 Annual meeting, and MHRA sealed the deal with their final guidance.

Write it down. Data Periodic Reviews are on the horizon!

2. Data Integrity remediation and governance will find its way into research

Gupta (2) reported that 40% of clinical researchers were aware of at least one instance of misconduct that was not reported. Wow!

So, there is widespread misconduct in research—no real surprise there. The FDA alone has written over 130 Warning Letters and 483s in the past 3 years due to integrity violations, and GxP labs are a small percentage of labs compared to research of all types. Add the fact that research labs have little oversight and no regulatory inspections—all making fraud more difficult to expose. Taken together, these factors (more labs, less oversight, no inspections) indicate a huge issue to be uncovered.

Detection capabilities have improved–inspectors are learning forensic inspection techniques and applying them with great success.

What is missing?

An organization with a vested interest in vetting the research to protect themselves, and the willingness to borrow and use forensic techniques from regulators. Perhaps NIH, a publisher, or a university/medical center. Once they conduct forensic data evaluations, misconduct is exposed, and the research data integrity avalanche starts rolling.

Once rolling, it will be big. Very big. And expensive. You have been warned.

3. Data Provenance will gain importance

Think beyond our current focus that data be recorded accurately (along with metadata) at the time of collection.

The next logical step is to assure that we have the “chain of data” from the source (raw) data all the way to where that data is used to make a business decision.

This chain is probably documented now in validation/process documents, known only to the validation team and not to the users who are making the decisions. The next step is to put that chain (provenance) in a format available to the business user at decision time or provide that user with a link back to the source data. At a minimum, business users should be aware that they are about to make decisions with a data field(s) that came from a different source.

Blockchain has been suggested as a possible solution for this issue, and it does have potential, since it embeds transfer history into the blockchain; however, applications would need to extract the history from the chain and make it available to the user at the decision point.

Don’t expect people to jump to another app to read the blockchain provenance—isn’t going to happen.

Time to plan for complete data provenance, available to the business users who make decisions, at the time the data supports a regulated decision.

In all of these, we are drawing conclusions from events already happening around us. Be wise and start planning now. Avoiding future change only makes it more expensive—and harder to take.

Fact is that another new initiative implemented this year, a paperless one, the new PLA App, has allowed a stronger involvement of the audience during this session . The App has eased the process of collecting in realtime manner answers to 4 questions from the audience.

1. eManage – Business drivers to facilitate data lifecycle

The discussion was an excellent exercise looking for identifying the major business drivers to facilitate lifecycle information chain and which could be the major roadblocks. Interestingly enough along with the technical limitation due to inherited legacy infrastructure and systems, the lack of change management mindset appears being a strong roadblock. Individual resistance to changes and lack of corporate leadership in driving the change are important risks to be assessed carefully when defining a new project. Of course those risks could be mitigated with a clear visibility on the benefits as well as involvement and efforts required.

From there the discussion went challenging the possibilities of considering Blockchain as a potential alternative to improve lab operations, reduce costs. ideally the self regulation aspect of the Blockchain could also potentially be of very valuable support to reduce the validation efforts when implementing new solutions, updates and upgrades…

Question: Which are the major business drivers to facilitate data lifecycle, information chain?

A. Inconsistent existing technology systems

B. Organizational silo mindset. Lacking to adopt change management processes

C. Not sure why a life cycle based approach will benefit anyway

D. Lack of cross functional management support

see: “The Promise of Blockchain and the Future of Scientific Data Management” Pat Pijanowski, Accenture presentation at PLA2018

2. eDecide – The Cost and Pain of Information Theft

When comes to access enough information for the business decisions making several concerns raise up. Am I getting the right and complete information to make decisions? Fact is that ideally, multiple data coming from multiple data sources should arrive in one single dashboard to facilitate a full view. Yet how can we completely trust the data analytics when raw data can´t be assessed anymore since their pathway up to the last system layer has disabled the access to the source of the data. how much can we trust that each interface up to last system layer has enable the integrity of the data.

Question: Which is my biggest data concern to make scientific conclusions?

A. Data Theft (missing crucial data)

B. Data Privacy (lack of access to complete dataset)

C. Data Aggregation (incomplete set of access to multiple data sources)

D. Data Trust (e.g. trust of data source, lacking meta or ontologies)

E. Not able to join different data sources

3. eArchive – Archives and Data Standardization

Just before the panel forum session, we had the opportunity to listen to Mr. Dennis Della Corte introducing their Global eArchive strategy at Bayer which has generated a profound reflection on the concept that a living archive completes the data life cycle. The discussion during the panel forum went on digesting the wake up call that made everyone realising that this step considered the last one for a data is in reality strongly part of the data lifecycle and as such can’t be approached and considered at a later stage in an IT strategy project. Fact is that archiving is not just data retirement prior to destruction but a process that should allow easy access to multiple formats and type of data in order to reuse them if required.

In this sense the discussion went even back to the requirements when defining of a master data management system, how to use taxonomies and ontology but under which type of data standardisation process should them be archived.

Regarding the format of the data, there were several reflections if converting dynamic records (like chromatography charts) into static records (like printouts or PDFs) at the time of system retirement wondering how often reprocessing might be required

Question: Do you re-use archived data?

A. yes

B. never

C. sometime

D. for regulatory requirements only

see: “GEAR @ Bayer – completing the data life cycle through a living archive” from Mr. Dennis Della Corte, Bayer presentation at PLA2018

4. eConnect – Robust electronic records and transfers

the eConnect layer of a lab system is extremely attractive when evaluating the numerous young and innovative providers of IoLT, Internet of Lab Things solutions, when listening to the Allotrope foundation partners that look for aligning themselves to the recently launched framework.

On the other hand, the interfaces are definitely important assets yet with high level of risk regarding data integrity if not appropriately well designed. The data integrity starts at the source but the majority of lab instruments lacks robust date/time stamp capability making Data integrity at the source vulnerable of electronic records and transfers. Most of the companies have dedicated procedures to inventory, validate and control in a routine basis this specific layer.

It is an old story, but should the industry enforce technology suppliers to standardize Plug and Go, self-documenting processes to capture meta data and thus the key question here was how much quality is involved in the purchase decision.

Question: Does Quality have a voice in the purchase decision?

A. yes

B. no

C. not sure

From the organisation, we´re glad to see that the process went really flawlessly even though we previously test intensively the App features, we could avoid to be nervous about the realtime collection process. Definitely the panel Forum and the App involvement have been greatly appreciated by the participants. We look forward to stimulating further more the use of the App features by the PLA2019.

A stunning location overlooking the water and the Alps, on Maggiore Lake: this is where the sixth edition of Paperless Lab Academy, that took place the last 20th and 21st March, recently ended with success.

After 6 years, the event is still considered to be the best learning platform for all organizations involved in running, consolidating, integrating and simplifying laboratory data management processes.

The central theme of this edition? “Empower your eData lifecycle”, leveraging on four key macro areas: eConnect, eManage, eDecide, eArchive.

A long and relevant list of partners chose Paperless Lab Academy 2018 as a stage to reach their audience and to present the latest tools and methodologies in the market.

Dexstr and Soft&Labs, Lonza and Thermo Fisher Scientific attended as premium sponsors

– through workshops and 1to1 sessions at their booth, they presented the latest innovations and systems developed by their teams.

Dexstr introduced Inquiro, the first system that combines automatic metadata generation and intelligent annotation with

GOLD: Agilab, Agilent, Waters, Biovia, Adiuto, Labware, PerkinElmer, CDDVault
SPONSORS: Stratec, ICSA, LabGuru, Optibrium, Vivenics, Global Value Web, Wega, ACD LAbs, ZIFO, Accenture, AdeoData, Osthus, OpenCo, Caliber

Sponsors, yes, but not only: speakers and presenters also joined the event and brought their added value through presentations in plenary sessions.

Accenture, key-note speaker of the first day with an interesting presentation about Blockchain and its usage in scientific data management. This disruptive technology which is already implemented in other markets may become a new era of IT solutions for scientific data management. After the initial implementation in the financial market, the food industry has started introducing the blockchain concept to secure the full traceability of goods. Part of the information that can be secured is related to the quality control activities performed throughout the supply chain. Today, we see this technology as a long-term future implementation. The reality may be largely different and impact the laboratories much sooner, as we have learnt for other technologies

Sanofi showed how to manage unstructured big data for document search and retrieval. The era of big data has started a while ago. Research projects are generating an immense amount of data, thanks to technologies that were cutting-edge few years ago and are now in th hands of thousands of researchrs. The result is a huge amount of unstructured data that needs to be analysed, interpreted and used to discover new drgus; Hovione, who has presented how the quality control labs become part of the production chain and generate value for the company by ensuring high product quality the Dutch Data Protection Authority, represented by Sophie Van Meulen, who introduced the impact of the new GDPR for science. The story was very personal, demonstrating how any of us can be impacted by the use and sharing of personal information, particularly when they are related to our health.

A large number of companies with large reputation in the industry decided to share their innovations with the attendees: lab managers, IT specialists and policy makers from all over Europe, US and India who came to the event saw PLA as eye opener in the field of lab automation and have now concrete tools to work better and faster in the organization.

The number of registrations to the event is increasing year over year, confirming that PLA is the right place to learn how to introduce paperless processes in the laboratories, share ideas with peers, experts and providers. A large number of new visitors confirm that there is large interest in the market for this event.

PLA2018 confirms that the original strategy based on three pillars is the most successful: high-level content agenda, hosted workshops and free entrance for visitors are allowing PLA to be the number one event in Europe for laboratory automation and information management.

So now, in the wake of this recent success, we’ll just have to wait and get to know all the details regarding the next edition – Paperless Lab Academy 2019! In the meantime, the organization is planning several digital activities, monthly newsletters and webinar series, to maintain the momentum and keep facilitating food for thoughts for your paperless lab projects.

Successful compounds require a balance of many different properties: potency, ADME, safety… StarDrop guides you through this ‘multi-parameter optimisation’ challenge to rapidly explore design strategies and target compounds with the best chance of success, saving you time and resources by synthesising and testing fewer compounds.

StarDrop’s unique approach to multi-parameter optimisation integrates data from many sources to prioritise compounds for your project’s specific goals. This takes into account the inherent uncertainty in discovery data to identify when compounds can be confidently distinguished and avoid missing valuable opportunities.

StarDrop’s core features can be extended with optional plug-in modules that provide comprehensive capabilities for compound optimisation, including: Predictive models for ADME properties, P450 metabolism and toxicity; automatic QSAR model building; 3D structure-activity relationships; and de novo design to stimulate the search for new optimisation strategies.

As an enterprise platform StarDrop can connect seamlessly with your models, informatics methods and databases. By providing user-friendly access to these resources, it makes project management quicker and simpler.

User-friendly querying of databases enables you to create, share and run structured queries, returning results directly into StarDrop ready for visualisation and analysis. Connection to additional data sources like CDD Vault, BIOVIA’s ScienceCloud or Certara’s D360 are available as free extensions. Search third-party commercial databases for screening compounds or select building blocks for synthesis and retrieve biological data from public databases, such as ChEMBL and PubChem.

StarDrop enables expertly prepared 3D docking and alignment models to be linked with data visualisation, 2D SAR analyses and predictive models in a single, elegant environment and is compatible with software from all the major computational chemistry providers.

The PLA2018 central theme will focus the discussions on how to empower your eData Life Cycle.

In the new era of the internet of things and artificial intelligence, the majority of the laboratories have still a long way to go moving from paper based processes to paperless ones.

At Paperless Lab Academy®, we have been working for the past six years in building a learning platform to leverage the cultural awareness of the organizations on how to move to less paper-based business processes. Less becomes then more. When well designed and successfully implemented, a digital transformation project reduces data integrity risks, improves effectiveness, drives change management, increases return on investment while shortening time to market.

For the 6th edition, we propose a journey through the whole data life cycle focusing on what we have identified as the 4-major areas of attention of such digitalisation projects. Those are forming part of our 2018 central theme: “eConnect, eManage, eDecide, eArchive”

This first post will mainly develop on the first and fourth areas. There is a real purpose in doing so. We´ll insist all along the event in thinking broad, in having you reflecting on your data life cycle, in planning your project with the end in mind. All 4 areas are intrinsically related and interdependent. They can´t really go good if not correctly designed. This goes without saying that the very last one, the eArchiving would basically be useless if not planned since the beginning. Any “super modern” connections would be misused if at the end data archived are not easily retrievable for them to be reused whether for compliance purposes whether for reanalysis.

“eConnect”: effective workflow based on self-documenting data capture strategies

Even though data integrity lays all along the whole data life cycle, the very first moment of capturing the data at the source is nowadays a strong focus of the inspectors and auditors. Most of the Lab instrumentations come now with intelligent software embed, additionally labwares and sensors embrace the internet of things, ensuring all now the correct collection of the raw data and the transfer to upper system layers.

Laboratories tend to overlook several critical aspects that need to be considered at this point of time. While the “eConnect” process should happen as lab technicians operate reducing the manual documentation and human error transcription, we tend to forget that maintaining the information about the source that generates the raw data is essential. The data value might reach the final approbation level coming through several system layers, yet it should not be missing its original source information. At this level, we´re not working anymore with the sourced data and it should be possible to get back anytime to the original data.

The interconnections to the different systems go through data interfaces of multiple kind including sometime the old fashion sneakernet mode if not the human transcription on paper. Every interface is a potential data integrity risk. If well designed interfaces increase integrity and remove human interactions, if not it could be the generator of data integrity on its own.

Finally, while in this first stage of collecting data we should not obviate the ones coming from collaborators. Collaborators are generators of data and potential source of information. If external as academic contributors or outsourced services from CRO, CMO and service labs, an immediate security concerns raises up. With the latest GDPR considerations, we need to incorporate data protection impact assessment at least on the most vulnerable data. By May 2018, companies we´ll need to design their processes. Additionally cybersecurity actions to avoid any risk in loosing data needs to also be considered.

“eArchive”: essentials to secure long-term multi-departmental archiving

As stated above, key objective in operating with efficient archival approach is to reduce the struggle finding the right data. Considering the growing digital universe, the archiving could not anymore be left behind in a project and considered when too late. Nowadays, we often hear about concerns on legibility and format consistency along the time for a given retention time that might end up requiring access to obsolete technologies.

Archiving should be approached and designed so it reduces risk of multiple types: knowledge limited to one critical person, security, loss of data…

A comprehensive archiving protocol should eliminate the struggle to find the data to the point of desperately looking for the person owning the knowledge of where it is. As discussed already during the last edition, PLA2017, a corporate master data management and vocabulary model should support a correct management and archival, facilitating a flawless track record of the data. Maximum insights could then be extracted from them. This is how the eDecide could benefit of comprehensive dashboards facilitating trustable conclusions on trends, patterns and key value to decide. See PerkinElmer 2018 workshop: “eDecide : Delivering on the promise of Enterprise Search & Analytics”

Those and more are the topics we´re looking for developing further along the two days event of the 6th edition of the Paperless Lab Academy. The plenary session agenda will provide the audience with very interesting informations: real situations from final users, providers sharing their knowledge and lesson learn from customer projects and though leaders from Gartner, Accenture, Pistoia Alliance will take us to the lab of the future. Last but not least, our most appreciated contributor from legal will provide the latest information about GDPR in a challenging attractive way. stay tuned!
